How to disable or delete a student

When a student completes their studies or decides to change institution, you can choose between two actions: disable the student or delete them.

Difference between disabling and deleting

Deleting the student record:

This action permanently removes all student data. It is not recommended immediately, as the data will no longer be recoverable.

Disabling the student:

This action keeps the student data archived. It is advisable to disable the student, keep them archived for a few years, and then, if necessary, delete them. Disabled students do not count towards the license limit, so this option is always preferable.

How to delete a student

  1. Access the Students section from the main menu.

  1. Select Student List.

Make sure you are logged in as Coordinator.

  1. Next to each student, you will find a red trash can icon.

  1. Click the icon to permanently delete the student.

Note: Once deleted, the student’s data cannot be recovered.

How to disable a student

  1. Access the Students section and open Student List.

  1. Next to the red trash can icon, you will find a yellow eye icon.

  1. Click the yellow icon to disable the student.

How to view and re-enable disabled students

  1. Go to the Student List section.

  1. Click on Advanced Search (available on the same page).

  1. In the filter bar, change the Enabled filter by selecting:

Disabled: To see only disabled students.

All: To see both enabled and disabled students.

  1. To re-enable a disabled student, click the yellow eye icon again next to the student's name.
